Coordinator for Membership and Allocation

(Part-time Contract until January 2027)

We aresearching for a part-time Coordinator for Membership and Allocation who will provide administrative, coordination and operational support to the Assistant Executive Director focusing on relationship management, analysis, recommendations and decision-making. The position will assist in the administration of the community grant applications, members allocation reviews, membership onboarding and reporting processes including the coordination of the work of volunteer reviewers.

What you will be doing:

Allocations and Grant Administration

    • Provide administrative coordination for the annual base allocation process for member agencies
    • Support the administration of community grant programs and special projects, including call for proposals, application intake, document organization, eligibility screening and tracking
    • Maintain an organized database or tracking system for applications, volunteer reviewers’ assignments, assessments, funding decisions, agreements, payments and reporting requirements
    • Coordinate requests for information for applications and reporting documentation
    • Assist with the preparation of draft documents for applications and allocation submissions, funding agreements and related correspondence
    • Track grant and allocation timelines, deliverables and reporting deadlines and inform the Assistant Executive Director of outstanding matters
    • Prepare basic summaries, spreadsheets and status reports to support the analysis and recommendations of the Assistant Executive Director, the panel reviewers, Membership and Allocations Committee and/or the CCAT Board.
    • Support the organization and maintenance of grant and allocation files

    Membership Administration and Support

    • Assist in the coordination of the work of the Membership Advisory Council
    • Prepare agendas, meeting invitations, materials and follow up communications as directed by the Assistant Executive Director
    • Assist with maintaining communication with the Membership Advisory Council

    Mission and Catholic Social Teaching Support

    • Support activities that promote CCAT’s charitable mission and Catholic Social Teaching
    • Assist with the coordination of orientation and education of agencies, board, volunteers and staff related to shared mission and demonstration of Catholic Social Teaching
    • Support the Assistant Executive Director and the Communications and Events Coordinator in developing and organizing information and resources that assist supported agencies in understanding and applying CCAT’s mission and values

    Records and Administrative Support

    • Maintain electronic and paper records related to allocations and membership
    • Organize and maintain shared files and document repositories, including the SharePoint portal and the new CCAT allocation portal.
    • Support the Assistant Executive Director in the development and implementation of the new CCAT allocation portal.
    • Perform other related duties that support the effective administration of membership and allocation processes.

    What are we looking for?

    • Bachelor’s degree or College Diploma in Social Services, Business Administration, Communications, Marketing, or a related field.
    • 1 to 3 years of experience in a membership-focused environment, client services, or inventory/resource allocation.
    • Proficiency with Customer Relationship Management (CRM) tools or member databases
    • Experience working in the not-for-profit sector is an asset

    Location: Toronto, ON

    Hours of work: 20 hours per week
